How to write an effective complaint letter

Did you get ripped off? Are your phone calls being ignored by the company? You can learn how to write an effective complaint letter and get results by following the advice in this article.

The first step in your letter-writing quest is to find the name of the proper person that you will need to contact. This person will be theone who has the highest authority to get you the results you desire. Donot address your letter to a secretary, clerk, or other company employee who has little or no authority to assist you. Nor does it matter whom you have dealt with in the company concerning this matter in the past. That person did not resolve your problem, so, obviously they were not the proper contact. Contact the company and get the name of a manager, vice=president, or even president of the customer service department. Also, find out his or her telephone number, extension number, and complete business address. You will need as much contact information as you can possibly get.

Begin writing your complaint letter and address it to the new contact person you now have. Tell this person, in chronological order, exactly when the problem started, what exactly happened, who you have talked to in their company about your problem, and what action, if any, was taken by the company up-to-date. In your letter, use dates, times,names, and all other pertinent information. However, be as brief and to the point as you possibly can without leaving out any essential information.

Next, write down what specific remedy you want the company to give you in order to solve the problem. Make sure the remedy you desire is fair. If you purchased a tire pump through a mail order catalog, for example,and it was faulty when you recieved it, a fair remedy to the situation would be for the company to either replace the tire pump, or refund the price you paid in full. You could also ask for reimbursement for the cost of the postage to send the defective tire pump back. This would also be a fair request.

The next step is to sign your letter and keep a copy of it for your records. Allow ample time, after theletter is mailed, for it to reach the recipient. Allow some time for the recipient to take proper action and respond to your letter. If your wrote your letter to a high-enough person in charge, you are sure to get the reponse you are after. Managers and executives are not likely to risk getting reprimanded by their superiors, or even risk their job security by ignoring a consumer's problem with the company. They will generally want the problem to be resolved as quickly as possible.

If, by chance, you still don't get the fair results you desire, your next step, depending on the size of the matter, would be to contact your local Better Business Bureau. If the matter involves a costly product or service, you might want to take it a step further and contact your attorney or State Attorney General's Office.
